Job summary:
The RC Purchasing Coordinator provides purchasing, receiving and accounting support as well as operational assistance to Research Center (RC) staff. This front-line position requires a positive attitude, strong attention to detail and initiative, as well as the ability to perform multiple administrative tasks, juggling projects with minimal direction in a fast-paced work environment. fast.

Responsibilities:
Purchase and receipt
• Responsible for creating purchase orders for approval, placing approved orders with approved vendors, and tracking status of orders and invoices
• Responsible for contact with external suppliers and act as liaison with purchases for RC
• Responsible for entering purchase requests into the accounting system for RC staff
• Process approved requests, prepare purchase orders and send copies to suppliers as needed
• Respond to supplier inquiries regarding order clarification, requisition changes, delivery requirements and cancellations
• Contact suppliers to ensure delivery deadlines are met and avoid missed deliveries
• Resolve issues with suppliers to expedite deliveries and avoid supply shortages
• Review purchase orders to ensure accuracy and correct item specifications
• Prepare, maintain and review purchasing records, reports and price lists
• Conduct regular review of office supply vendors to ensure we are getting the most effective support, which includes comparing vendor pricing, customer service and speed with competitors
• Monitor the status of requisitions, charges, contracts and orders. Responsible for working with Accounting Assistant to receive items when delivered and posting in accounting system against purchase order when items are received
• Keep track of open orders
• Notify RC staff as soon as possible when delivery or performance issues arise
• Serves as a replacement for the assistant accountant
Support from the administration
• Works in conjunction with the Facilities Support Technician to ensure an adequate stock of office supplies/equipment is always available
• Manage incoming/outgoing mail, create shipping labels, process FedEx/UPS shipments, schedule pickups/drop-offs, and sort mail and packages
• Helps answer the phone and door when needed
• Provide operational assistance on various other projects as required and perform other duties as required
Security
• Keep the safety manual and hazardous materials data sheets up to date
• Responsible for inventorying and ordering first aid and safety supplies as required and approved by the appropriate senior manager
